Terms of Agreement
Version and effective date: 29 July 2026
Please read this document carefully. It affects legal rights and creates binding obligations. Use of the relevant xINDEXHUB services constitutes acceptance as described below.
1. Agreement and account authority
These Terms of Agreement (“Terms”) form a binding agreement between the person or organisation using xindexhub.com and the xINDEXHUB platform operator identified on the applicable order form or invoice (“xINDEXHUB”, “we”, “us” or “our”). By creating an account, selecting the acceptance checkbox, accessing the platform, or using any service, you agree to these Terms and acknowledge the Privacy Notice.
If you create or use an account for a company or other organisation, you confirm that you are at least 18 years old, have legal capacity, and are authorised to bind and act for that organisation. In that case, “you” includes both you and that organisation. If you lack that authority or do not agree, you must not create an account or use the platform.
2. The xINDEXHUB service
xINDEXHUB is an independent trusted business identity platform that supports company profiles, business verification workflows, document management, AI-assisted reviews, compliance administration, supplier onboarding, procurement, secure sharing, business discovery, reviews, nudges, notifications, and related services.
xINDEXHUB is not a government authority, regulator, credit bureau, law firm, certification body, licensed trust service provider, or issuing authority. Platform registration, an AI result, a status badge, or a verified profile is not a government approval, legal opinion, regulatory certification, financial recommendation, guarantee of compliance, or guarantee that a company or document is genuine, solvent, suitable, or risk-free.
3. Accounts and security
You must provide complete and accurate registration information, keep it current, protect login credentials and authentication methods, and promptly notify us of suspected unauthorised access. Accounts are personal to authorised users and may not be shared.
The company owner or authorised administrator controls workspace membership and roles. You are responsible for actions taken through your account and for ensuring that every invited user has an appropriate role. Read-only access does not permit uploads, edits, deletion, approvals, nudges, notifications, or other modifying actions.
4. Company information and documents
You retain responsibility for all information, files, dates, instructions, messages, and other content submitted through your workspace (“Customer Content”). You confirm that Customer Content is accurate to the best of your knowledge, relates to the correct organisation, is not misleading, and may lawfully be uploaded, processed, reviewed, displayed, and shared as instructed.
You must enter issue dates, expiry dates, company details, and document classifications carefully and must replace inaccurate, outdated, revoked, or expired material. xINDEXHUB may flag inconsistencies or prevent an upload, but those controls do not transfer your responsibility to maintain accurate records.
You must not upload unnecessary personal data, government identity documents without proper authority, third-party confidential information without permission, malicious files, forged or altered evidence, or content that violates law or another person’s rights.
5. Verification and status decisions
Verification is a platform review based on the information available at the time. We may request additional evidence, reject unreadable or inconsistent material, change a status, require replacement documents, suspend a profile, or revoke a previous status when information changes or concerns arise.
Verification may include automated and human-assisted checks but does not include every possible registry, regulator, sanctions, ownership, financial, legal, cybersecurity, or issuing-authority check unless expressly stated in a separate written service description. Other users must perform their own due diligence before entering a commercial relationship.
6. AI-assisted features
AI features may extract document fields, compare entered and visible information, identify possible expiry or inconsistency, summarise available evidence, answer workspace questions, and recommend potential businesses. AI output can be incomplete, inaccurate, outdated, or affected by document quality and available data.
AI review is a pre-check only. It is not forensic authentication, official validation, legal advice, professional advice, or a final approval. An authorised person must review important decisions and original evidence. You must not rely exclusively on AI output for legal, procurement, credit, safety, employment, sanctions, investment, or other high-impact decisions.
7. Business directory, recommendations and reviews
Directory listings, search rankings, recommendations, ratings, reviews, and trust indicators are informational. They are not endorsements or guarantees by xINDEXHUB. Businesses remain independent third parties and are solely responsible for their products, services, statements, conduct, and contractual obligations.
Reviews must reflect genuine business interactions and must not be fabricated, manipulated, defamatory, threatening, discriminatory, paid without disclosure, or used to disclose confidential or personal information. We may moderate, restrict, or remove content that violates these Terms or creates platform risk.
8. Secure Shares, messages and notifications
Authorised users may select information and documents to share with an intended recipient. The sender is responsible for selecting the correct recipient, confirming authority to share, choosing appropriate access, and ensuring the shared material is accurate and lawful.
Recipients must use shared information only for the purpose for which access was granted and must respect the xINDEXHUB Platform Confidentiality & Non-Disclosure Agreement, access restrictions, expiry, and revocation. Technical controls cannot prevent every screenshot, download, onward disclosure, or misuse by an authorised recipient.
Nudges, notifications, invitations, and platform communications must be relevant, professional, lawful, and non-deceptive. They must not be used for harassment, spam, unsolicited bulk marketing, or unlawful solicitation.
9. Acceptable use
You must not use the service to break any law; impersonate a person, company, government body, or official; submit false business information; forge or manipulate evidence; infringe intellectual property, privacy, confidentiality, or other rights; introduce malware; scrape or harvest data; probe security; bypass access controls; reverse engineer protected elements; overload the service; automate unauthorised access; resell access without written permission; or help another person do any of these things.
You must not use xINDEXHUB status, branding, or AI results to imply government affiliation, regulatory approval, guaranteed compliance, guaranteed supplier quality, or any assurance beyond the status and scope expressly displayed by the platform.
10. Subscriptions and payment
Paid features are provided according to the plan, billing period, price, usage limits, and features shown at checkout or in an order form. Prices are in the displayed currency and exclude VAT and other applicable taxes unless expressly stated otherwise.
Free remains free until an authorised company owner or administrator manually selects a paid plan. XINDEXHUB does not offer a free trial.
Monthly, six-month, and annual subscriptions renew automatically for successive periods of the same length unless cancelled before renewal. Multi-month plans are charged in full at the beginning of the billing period even when an effective monthly rate is displayed.
Cancellation stops the next renewal but does not ordinarily create a refund or credit for the current billing period, except where required by applicable law or expressly agreed in writing. Failed or overdue payments may result in restricted access or suspension. We may change future pricing with reasonable advance notice; changes apply from a later renewal and not retroactively to an already-paid period.
11. Customer Content and permission to operate the service
You retain ownership of Customer Content. You grant xINDEXHUB and its service providers a limited, non-exclusive right to host, copy, process, transmit, display, analyse, and otherwise use Customer Content only as reasonably necessary to provide, secure, support, and improve the service, follow authorised sharing instructions, enforce these Terms, and comply with law.
You are responsible for providing legally required notices and obtaining permissions from employees, representatives, owners, recipients, reviewers, and other individuals whose information you submit.
12. Privacy, confidentiality and security
Personal data is handled as described in the Privacy Notice and applicable data-protection requirements. Each party must protect non-public information received from the other and use it only for the relevant platform or business purpose, except where disclosure is authorised or legally required.
We use reasonable technical and organisational safeguards. However, no internet, storage, AI, or authentication system is completely secure or continuously available. You must use appropriate internal controls, maintain independent copies of critical records, and promptly report suspected security incidents.
13. Intellectual property and feedback
The platform, software, interface, designs, workflows, databases, documentation, trademarks, and other xINDEXHUB materials are owned by or licensed to xINDEXHUB and are protected by applicable intellectual-property laws. These Terms give you only a limited, revocable, non-transferable right to use the service for your organisation’s internal business purposes during an active account.
If you provide suggestions or feedback, you permit us to use them without restriction or compensation, provided we do not identify you publicly without permission.
14. Third-party services and business relationships
The service may depend on third-party hosting, authentication, storage, payment, email, analytics, AI, or communication providers and may link to third-party sites. Their services and terms may apply separately. xINDEXHUB is not responsible for independent third-party services outside our reasonable control.
Any purchase, tender, onboarding, contract, dispute, payment, delivery, or other relationship between platform businesses is solely between those businesses. xINDEXHUB is not a party, agent, broker, fiduciary, employer, partner, or guarantor in that relationship unless expressly agreed in a signed writing.
15. Availability and changes
We may maintain, update, improve, replace, limit, or discontinue features. We aim to provide a reliable service but do not guarantee uninterrupted, error-free, or permanently available operation. Planned or emergency maintenance, provider failures, security events, legal requirements, or events beyond reasonable control may affect availability.
16. Suspension and termination
You may stop using the service and may cancel a subscription through the available account or billing controls. We may restrict, suspend, or terminate access where reasonably necessary for security, non-payment, unlawful conduct, material breach, false information, infringement, risk to other users, or compliance with law.
On termination, your right to use the service ends. Provisions intended by their nature to survive—including payment obligations, confidentiality, intellectual property, disclaimers, liability limits, indemnities, dispute provisions, and record-retention rights—remain effective. Data export or deletion remains subject to the Privacy Notice, account controls, legal retention, backup cycles, and outstanding disputes.
17. Disclaimers
To the maximum extent permitted by applicable law, the service is provided “as is” and “as available”. xINDEXHUB disclaims implied warranties of merchantability, fitness for a particular purpose, non-infringement, accuracy, availability, and results. We do not warrant that any company, profile, document, status, review, recommendation, AI output, or shared information is complete, authentic, current, compliant, financially sound, or suitable for a particular transaction.
18. Limitation of liability
To the maximum extent permitted by applicable law, neither party will be liable for indirect, incidental, special, exemplary, punitive, or consequential loss, or for lost profit, revenue, opportunity, goodwill, anticipated savings, or data, arising from these Terms or the service.
To the maximum extent permitted by applicable law, xINDEXHUB’s total aggregate liability arising from the service or these Terms will not exceed the fees paid or payable by you to xINDEXHUB for the affected service during the twelve months immediately before the event giving rise to the claim. Nothing in these Terms excludes liability that cannot lawfully be excluded or limited, including liability for fraud, wilful misconduct, or any other mandatory liability under applicable law.
19. Indemnity
To the extent permitted by law, you will defend, indemnify, and hold xINDEXHUB and its personnel harmless from third-party claims, losses, and reasonable costs arising from Customer Content, your unauthorised or unlawful use, your breach of these Terms, your infringement of another person’s rights, or a business transaction between you and another platform user.
20. Electronic communications
You consent to receive agreements, notices, invoices, subscription information, security messages, and other communications electronically through the platform or the contact details associated with your account. Electronic acceptance and records may be used as evidence of your agreement and activity, subject to applicable law.
21. Changes to these Terms
We may update these Terms to reflect service, security, provider, commercial, or legal changes. The updated version and effective date will be published on this page. Where a change is material, we will provide reasonable notice or request renewed acceptance where appropriate. Continued use after the effective date constitutes acceptance to the extent permitted by law.
22. Governing law and disputes
These Terms are governed by the federal laws of the United Arab Emirates and the laws applicable in the Emirate of Dubai, without regard to conflict-of-law principles. The courts of Dubai, United Arab Emirates, have exclusive jurisdiction over disputes arising from these Terms or the service, subject to any mandatory law or different dispute mechanism stated in a signed order form.
Before filing a claim, each party should provide written notice describing the dispute and allow at least thirty days for good-faith resolution, unless urgent interim relief is reasonably required.
23. General terms
These Terms, the Privacy Notice, the xINDEXHUB Platform Confidentiality & Non-Disclosure Agreement, the applicable checkout disclosures, and any signed order form constitute the agreement for the service. If an order form expressly conflicts with these Terms, the order form controls for that subject. You may not assign the agreement without our written consent; xINDEXHUB may assign it as part of a merger, reorganisation, sale, or transfer of the relevant business.
If a provision is unenforceable, it will be limited to the minimum extent necessary and the remaining provisions will continue. A delay in enforcement is not a waiver. Headings are for convenience. No person other than the parties has a right to enforce these Terms unless applicable law requires otherwise.
